Job Description
Mission Kharkiv is one of the largest medical charitable organizations in Ukraine in terms of the volume of assistance provided. One of our key areas of work is the systematic support of adult patients with cancer.
Since 2022, our organization has implemented large-scale programs providing medicines, patient transportation and evacuation, first aid, hygiene kits, psychosocial support for beneficiaries, and capacity-building for healthcare professionals.
Role Summary: The Head of Logistics Department is responsible for coordinating the organization’s logistics function across Ukraine, based in Kharkiv. The role covers fleet management, technical logistics, warehouse and inventory management, including buffer stocks of medicines, logistical support to project activities, as well as adapting, updating, and developing logistics procedures and policies. The position reports to the Operations Director and directly supervises Logistics Officers, Logistics Assistants, and Fleet Officers (Transport Officers).
Key Responsibilities:
- Coordinate logistics support for the organization and project activities across Ukraine.
- Manage the vehicle fleet, including vehicle allocation, fuel control, maintenance, repairs, insurance, and vehicle readiness.
- Organize warehouse processes, inventory management, and buffer stocks of medicines, including receiving, storage, stocktaking, movement, and documentation of transfers.
- Provide technical logistics support to medical and related projects, including assessing the logistical feasibility of solutions, supporting technical requirements, and providing facility-related support.
- Provide support to procurement processes, primarily in identifying transportation and other technical requirements, technical validation, and logistical follow-up of deliveries.
- Adapt, update, and, when necessary, develop logistics procedures, guidelines, templates, and policies.
- Provide logistics input into project planning, budgeting, and preparation of project proposals.
- Manage the work of Logistics Officers, Logistics Assistants, and Fleet Officers (Transport Officers), ensuring planning, training, performance monitoring, and the quality of logistics support.
Requirements:
- Mandatory experience working in the humanitarian sector, preferably in medical or donor-funded projects.
- Fluency in Ukrainian and working proficiency in English.
- Higher education in logistics, management, engineering, administration, economics, or a related field.
- At least 3–5 years of relevant experience in logistics, technical logistics, fleet management, warehouse management, or operational support.
- Practical experience coordinating transportation, vehicle maintenance, fuel control, and fleet documentation.
- Experience in warehouse management, inventory control, and handling critical supplies.
- Strong computer skills, particularly Excel and other tools used for inventory management, planning, and reporting.
Preferred Qualifications:
- Experience updating or developing logistics procedures, guidelines, and operational tools.
- Experience working in a complex or high-risk environment.
- Experience managing a small team.
