Job Description

Mission Kharkiv is one of the largest medical charitable organizations in Ukraine in terms of the volume of assistance provided. One of the key areas of our work is the systematic support of adult patients with oncological diseases.

Since 2022, our organization has been implementing large-scale programs focused on the supply of medicines, patient transportation and evacuation, first aid provision, distribution of hygiene kits, as well as psychosocial support for beneficiaries and strengthening the capacity of healthcare professionals.

Mission Kharkiv is looking for a responsible and detail-oriented accountant to join our team and help ensure transparent financial management of the organization’s projects in accordance with donor requirements and Ukrainian law.

We are looking for a candidate with a degree in finance or accounting, at least two years of experience as an accountant, and knowledge of accounting for nonprofit organizations. Experience working with international donors is a plus.

Key Responsibilities:

Accounting and Primary Documentation

  • Preparation and maintenance of primary accounting documentation in accordance with donor requirements and Ukrainian legislation.
  • Participation in the preparation of financial reports in line with donor requirements (including provision of supporting documentation).
  • Management of accounts payable records, monitoring timely submission and processing of documents, and reconciliation of settlements with suppliers.
  • Recording expenses by project, conducting inventories of assets and financial balances independently and as part of a commission.

Budgeting and Planning

  • Development of detailed original project budgets within adaptive planning processes and their conversion into donor-specific budget formats.
  • Ensuring that all budgets comply with donor requirements, Mission Kharkiv internal budgeting procedures, and broader program and project needs.
  • Submission of budgets within established deadlines and according to required standards.

Donor Compliance and Monitoring

  • Monitoring financial performance of active contracts in close cooperation with programme and project teams.
  • Supporting the development and implementation of corrective action plans when required.

Reforecasting and Financial Adjustments

  • Preparing budget reforecasts in both adaptive planning and donor-required formats when project implementation deviates from the original plan.
  • Working cross-functionally to revise plans while ensuring continued compliance with donor requirements and internal procedures.

Financial Reporting

  • Preparing accurate interim and final financial reports for donors.
  • Providing detailed variance analysis and explanatory supporting documentation.

Processing and documenting transactions

  • Conducting regular reviews of project expenditures to ensure cost eligibility and compliance.
  • Processing financial transactions related to project activities.
  • Verifying completeness, compliance, and audit readiness of all supporting documentation.
  • Preparing ad hoc financial reports, spending plans, budgets, and reforecasts as required.
  • Providing clear documentation of key assumptions and financial justifications.

Donor Audits

  • Providing operational and financial reports and documentation required for grant, contract, and agreement audits in accordance with donor requirements.

Requirements:

  • Higher education degree in Accounting, Finance, or Economics.
  • At least 2 years of professional experience in accounting.
  • Previous experience working with non-profit organizations.
  • Experience with UHF and ECHO projects will be considered an asset.
  • Strong knowledge of Ukrainian legislation related to accounting, taxation, and non-profit organization activities.
  • Confident user of BAS Accounting, M.E.Doc, and Microsoft Excel.
  • Strong attention to detail, responsibility, integrity, and ability to work effectively in a team environment.
