Supervisor of Operations (Field Activities)
Job Description
Mission Kharkiv is one of the largest medical charitable organizations in Ukraine in terms of the scale of assistance provided. One of the key areas of our work is the systematic support of adult cancer patients.
Since 2022, our organization has been implementing large-scale programs focused on the supply of medicines, transportation and evacuation of patients, first aid provision, distribution of hygiene kits, as well as psychosocial support for beneficiaries and capacity strengthening for medical personnel.
Short Role Description:
Responsible for the organization’s office in Sumy.
Development and regular updating of the database of organizations and services in Sumy region.
Maintaining up-to-date information on services and contact details of organizations.
Establishing and maintaining working relationships with local NGOs, institutions, and service providers.
Collecting and systematizing information about partner organizations’ activities.
Facilitating information exchange between organizations within project activities.
Location: Sumy city / Sumy region, with business trips to communities across Sumy region.
Main Responsibilities:
Field Activities Coordination
Coordinate the daily implementation of field activities in line with project plans.
Resolve operational issues during implementation in coordination with the Program Manager.
Monitor activity implementation and report progress and challenges to the manager.
Office Support
Ensure the daily organization and functioning of the office.
Coordinate office needs (equipment, supplies) in cooperation with the logistics department.
Support efficient office operations and workflows.
Team Coordination
Organize the daily work of the field team.
Support team members in resolving operational issues.
Conduct regular coordination meetings.
Logistics Coordination
Coordinate with the logistics department regarding the needs of field activities.
Support procurement processes and resource utilization.
Monitoring and Reporting
Collect information related to activity implementation and share it with the program team.
Support documentation management and reporting processes.
Report issues, risks, and delays.
Local-Level Coordination
Communicate with local authorities and partners on operational matters.
Participate in coordination meetings upon agreement with the manager.
Safety
Follow security procedures and keep the team informed about the current security situation.
Coordinate team movements according to internal regulations.
Report incidents or risks to responsible persons.
Compliance and Standards
Ensure field activities comply with Mission Kharkiv policies and donor requirements.
Monitor the proper use of resources, materials, and equipment.
Ensure compliance with procurement procedures within the scope of responsibility.
Ensure compliance with local legislation and regulatory requirements.
Prepare and review documentation for audits.
Requirements:
Higher education degree (Bachelor’s degree or higher) in social sciences, international development, or a related field.
At least 2 years of experience in humanitarian or development projects.
Experience working with local authorities, NGOs, or civil society organizations in Ukraine.
Experience in field activity implementation and project logistics management.
Understanding of project management principles, monitoring, and reporting.
Strong organizational and time management skills.
Excellent communication skills and ability to work with stakeholders.
Ability to work under pressure both independently and as part of a team.
Proficiency in MS Office.
Would Be an Advantage:
Knowledge of donor reporting requirements and project cycle management.
