Project Assistant (Field Operations)
Job Description
Mission Kharkiv is one of the largest medical charitable organizations in Ukraine in terms of aid provided. One of the key areas of our work is systematic support for adult patients with cancer.
Since 2022, our organization has been implementing large-scale programs for the supply of medicines, patient transportation and evacuation, provision of first aid, distribution of hygiene kits, as well as providing psychosocial support to beneficiaries and strengthening the capacity of medical personnel.
Role Summary:
The Project Assistant (Field Operations) provides operational and administrative support for the field activities of the project team — from planning mobile team deployments and coordinating with local authorities to maintaining documentation and organizing events. The specialist acts as a key link between field teams, the project manager, and partners, ensuring uninterrupted logistics and operations.
Key Responsibilities:
Field Operations Support
- Provide technical support in planning staff field trips, creating schedules, and monitoring deployments.
- Monitor the equitable distribution of mobile medical team and social protection team deployments.
- Ensure mobile team staff are provided with necessary materials (visibility and monitoring) for field visits.
- Support mobile teams in organizing trips to high-risk areas (preparing requests to local authorities, obtaining permits and passes, etc.) and assist in preparing reports on field activities in high-risk zones.
- Collect field staff needs regarding materials for activity implementation.
- Assist in collecting, organizing, and analyzing field data.
- Report on field activities and project progress to the project manager.
Communication and Coordination
- Provide technical support for meetings with regional coordination bodies and local authorities.
- Ensure effective communication with field teams and other departments.
Administrative Support for the Project Team
- Maintain project documentation and archives.
- Support preparation of reports and working documents.
- Organize travel, logistics for meetings and events in close coordination with the finance department.
- Support organization of trainings and other events (creating participant lists, sending schedules, collecting necessary documentation for reporting, etc.).
- Monitor and maintain timesheets for the project team.
Requirements:
- Completed higher education.
- Experience working in humanitarian, legal, programmatic/project, or related fields.
- Understanding of humanitarian and social assistance standards and ethical principles.
- Native-level proficiency in Ukrainian.
- Strong computer skills, including MS Word, Excel, PowerPoint, Outlook, and internet research skills.
Desirable:
- Skills in successful project implementation — management, budgeting, monitoring, and evaluation.
- English proficiency at least A2 level.
- Practical experience in organizing administrative and business processes.
- Strong analytical skills and attention to detail.
- Knowledge of basic project management principles and project operations.
